Dear Members of Jacaranda West Homeowners #1 Association, Inc.:
The Annual Membership Meeting and Election of Directors for Jacaranda West Homeowners’ Association #1, Inc. will be held on Thursday, November 12, 2020 at 7:00 p.m. (sign in at 6:30 p.m.) via Zoom Meeting and Conference Call only. In order to better protect the health and safety of its members due to the COVID-19 virus pandemic, the Association will not have a physical location for its membership meeting. The main purposes of the annual meeting are to hold an election to fill scheduled vacancies on the Association’s Board of Governors, to inform members of events affecting their community and allow members to make comments.
There must be a quorum of the members (homeowners) in order for the meeting to take place. If you are unable to attend the meeting, it is vital that you complete the enclosed Proxy and return it to Sunstate. Even if you plan to attend, it is still advisable to complete the Proxy. If there is no quorum, the meeting must be rescheduled.
BOARD OF DIRECTORS BALLOT:
As a part of the customary business of the Association, an election will be held to fill scheduled vacancies on the Association’s Board of Directors; this year there will be two vacancies. The applications for each of the three candidates can be found below and will provide you with more in-depth information about the candidates.
In accordance with FL Statute 720, nominations of candidates for election will not be taken from the floor during the members meeting.
SUBMITTING PROXY & BALLOT:
The Limited Proxy and Board of Directors Ballot and any association business will be included in the package that you will be receiving shortly. The package will also include a pre-stamped envelope to return the ballots and proxy. It is extremely important to mail the ballots and proxy to arrive prior to the 12th of November.
There are three ways to turn in your ballot/proxy.
- Put the pink proxy in the pink envelope and the blue ballot in the blue envelope. Place both the pink and blue envelope in the white pre-stamped outer envelope that is included in the mailing, and drop it in the mail. You must sign and print your name on the white envelope for your vote to count.
- You may also drop off the ballot between the hours of 9 am and 5 pm at 228 Ponce de Leon Ave in Venice Florida.
- You may email your proxy to email@example.com, but ballots must be either mailed or dropped off at the office.
